Account information including your username, password, and account preferences.
Documents and text input that you upload or enter for date extraction. This includes PDF files, images, and plain text descriptions you provide through Quick Schedule or other input methods.
Schedule and reminder data including titles, dates, and terms you enter or confirm from extraction.
Billing and payment information including billing address. Card details are tokenized by our payment processor and we do not store full card numbers.
Technical information including your browser type and version, time zone setting, operating system, or information about your internet connection and the equipment you use to access our Website.
How We Collect Information About You
We use different methods to collect your information, including through:
Direct interactions with you when you provide it to us, for example, by filling in forms, creating an account, uploading documents, or corresponding with us by email or otherwise.
Automated technologies as you navigate through our Website. We use privacy-respecting analytics that do not use cookies or collect personal information.
How We Use Your Information
We use information that we collect about you or that you provide to us, including any personal information:
• To present our Website and its contents to you.
• To provide you with the TermCal service, including extracting dates from your documents and text input using AI.
• To send you reminder notifications about upcoming deadlines.
• To sync your calendar with extracted dates and reminders.
• To provide you with notices about your subscription, including expiration and renewal notices.
• To carry out our obligations and enforce our rights arising from any contracts with you, including for billing and collection.
• To notify you about changes to our Website or service.
• To improve our Website, products or services, and customer relationships.
• For any other purpose with your consent.
We do not sell your data. We do not use your documents or data to train public AI models. Our AI extraction uses a European AI provider under strict data processing terms that prohibit training on customer data.
Disclosure of Your Information
We may disclose aggregated information about our users, and information that does not identify any individual, without restriction.
We may disclose personal information that we collect or you provide as described in this privacy policy:
• To contractors, service providers, and other third parties we use to support our business and who are contractually obligated to keep personal information confidential and use it only for the purposes for which we disclose it to them.
• In accordance with applicable law, to a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets.
• To comply with any court order, law, or legal process, including to respond to any government or regulatory request, in accordance with applicable law.
• If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of our Company, our customers, or others.

Third-Party Platform Integrations
TermCal offers optional integrations with third-party platforms. When you choose to connect these services, we access only the data necessary to provide the requested functionality.
Google Services: If you connect Google Drive, we access only the files you explicitly select or the folder you designate for sync. We do not access your entire Drive. TermCal's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Microsoft Services: If you connect Microsoft OneDrive, we access only the files you explicitly select or the folder you designate for sync. We do not access your entire OneDrive or other Microsoft 365 data.
For all third-party integrations, we:
• Only request the minimum permissions necessary to provide the functionality you requested.
• Do not sell, transfer, or use your data for advertising, retargeting, or any purpose unrelated to providing TermCal's services.
• Do not share your connected account data with third parties except as necessary to provide the service (e.g., document processing).
• Allow you to disconnect integrations at any time, which revokes our access to your third-party account data.
Transferring Your Personal Information
We may transfer personal information that we collect or that you provide to contractors, service providers, and other third parties we use to support our business and who are contractually obligated to keep personal information confidential, use it only for the purposes for which we disclose it to them, and to process the personal information with the same standards set out in this policy.
We process and store your personal information in Canada and France. We use infrastructure exclusively owned and operated in Canada and Europe. This means your data is not subject to the US CLOUD Act and is protected by Canadian privacy law (PIPEDA) and/or GDPR.
Whenever we engage a service provider, we require that its privacy and security standards adhere to this policy and applicable Canadian privacy legislation.
Cookies and Automatic Data Collection
We use only essential cookies required for the service to function. Our authentication cookie keeps you logged in and expires after 14 days of inactivity.
We do not use advertising, tracking, or third-party cookies. We do not engage in online behavioural advertising. Our analytics are cookieless and do not collect personal information.
Data Security
The security of your personal information is very important to us. We use physical, electronic, and administrative measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. We store all information behind firewalls on secure servers. Any payment transactions will be encrypted.
The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our service, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.
Unfortunately, the transmission of information via the Internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Any transmission of personal information is at your own risk.
Data Retention
Except as otherwise permitted or required by applicable law or regulation, we will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
• Active account data: Retained while your subscription is active.
• After cancellation: Account and uploaded data deleted within 30 days.
• Payment records: Retained 7 years for tax compliance.
You can export your data at any time from your account settings before cancellation.

Withdrawing Your Consent
Where you have provided your consent to the collection, use, and transfer of your personal information, you may have the legal right to withdraw your consent under certain circumstances.
